Description

Project Managers at Ironwood are responsible for leading projects from kickoff through completion, ensuring that design quality, client service, and project profitability are consistently achieved. PMs serve as the primary point of contact for clients and are ultimately accountable for project execution—including planning, documentation, financial tracking, and team coordination. They also play a key role in modeling Ironwood’s culture and mentoring junior staff.

PMs are expected to maintain billable hours and may actively contribute to project design, particularly during master planning and concept phases. They report to the Studio Director and escalate to Principals as needed.

Key responsibilities:

  • Lead project kickoff meetings with the Studio Director to ensure a smooth transition from sales to production.
  • Review the Client Project Questionnaire and gather all necessary information to fully understand the client’s vision and project requirements before design begins.
  • Plan and manage all phases of a project—from concept through construction documentation—ensuring quality, clarity, and alignment with Ironwood standards.
  • Coordinate directly with clients, consultants, and internal team members to guide project progress and resolve issues.
  • Attend and lead meetings, capturing critical decisions and follow-up items (including meeting minutes, as needed).
  • Client Service
  • Serve as the day-to-day client liaison, ensuring timely communication, proactive problem-solving, and high responsiveness.
  • Understand and represent client goals while aligning outcomes with Ironwood’s standards of excellence.
  • Build strong relationships to support repeat business and long-term partnerships.

Design & Quality Oversight

  • Guide design direction, particularly during early phases and master planning efforts.
  • Ensure design output meets Ironwood’s expectations for creativity, clarity, and constructability.
  • Foster a culture of self-review and shared accountability across the team.
  • Take final responsibility for QA/QC on all project deliverables—even when formal review is delegated to others.

Construction Observation

  • Own the construction observation process for your projects. You may delegate tasks, but remain accountable for execution, quality, and budget adherence.
  • Oversee RFIs, submittals, and clarifications to ensure that design intent is clearly communicated and upheld.
  • Support the team in managing punch lists, field reports, and ongoing site coordination.

Financial Management

  • Monitor and manage project budgets, timelines, and scopes to ensure profitability and on-time delivery.
  • Ensure project execution aligns with the contracted scope—avoiding scope drift and writing add services when necessary.
  • Regularly update project management software with deadlines, milestones, and deliverables for accurate forecasting.
  • Track team time and progress to ensure tasks are completed within budgeted hours.

Team Coordination & Mentorship

  • Coordinate the work of Project Designers and Designers; provide clear direction, mentorship, and feedback.
  • Be the first point of support and decision-making for your team before issues escalate to the Studio Director.
  • Promote a culture of collaboration, mentorship, and continuous improvement within your team.

Professional Development & Culture

  • Uphold and model Ironwood’s core cultural themes: ownership mentality, shared success, mentorship at every level, continuous improvement through collaboration, and high standards with accountability.
  • Participate in and promote professional development, including licensure, ASLA, USGBC, ULI, and local design organizations.
  • Share emerging knowledge, techniques, and tools with your team to elevate the studio as a whole.

Marketing & Business Development

  • Assist with or produce supporting materials for proposals, graphics, and marketing packages as needed.
  • Represent Ironwood with professionalism in all external communications and touchpoints.

Utilization & Accountability

  • Maintain billable hours and meet utilization targets set by leadership.
  • Own your workload, communicate proactively about availability or delays, and support other teams when capacity allows.
